Privacy Policy

CrewRoll (“CrewRoll”, “we”, “us”) is a workforce and payroll platform provided to organizations for their employees. This policy explains what information we collect when you use the CrewRoll web and mobile apps, how we use it, and the choices you have. CrewRoll is provisioned by your employer, who is the controller of your personal data; we process it on their behalf.

Information we collect

We collect the following, depending on how your organization uses CrewRoll:

  • Account & identity. Your name, work email, profile photo, and the Google account you sign in with.
  • Employment & payroll.Job title, department, employee ID, salary structure, payslips, tax and statutory details, bank/UPI payout information, and leave balances — as entered by you or your organization’s administrators.
  • Requests & documents. Leave applications, expense claims and their receipts, uploaded files, and assets assigned to you.
  • Device & usage. App version, device type, and basic diagnostic logs used to keep the service reliable.

How we sign you in (Google)

CrewRoll uses Google Sign-Into authenticate you. When you sign in, Google shares your name, email address, and profile picture with CrewRoll to identify your account. We only access this basic profile information and do not read your Gmail, contacts, Drive, or other Google data. You can revoke CrewRoll’s access at any time from your Google Account permissions.

How we use your information

  • To provide payroll, leave, expense, and profile features.
  • To authenticate you and secure your account.
  • To notify you about approvals, payslips, and account activity (where you have enabled notifications).
  • To operate, maintain, and improve the service.
  • To comply with legal, tax, and statutory obligations.

We do not sell your personal information, and we do not use it for advertising.

How your information is shared

  • Your organization. Administrators and authorized personnel in your organization can access your data to manage HR and payroll.
  • Service providers. Infrastructure, cloud hosting, and payment/payout processors that help us run the service, under confidentiality obligations.
  • Legal. When required by law or to protect the rights, safety, and security of users and the service.

Data retention

We retain your information for as long as your organization maintains an account and as required to meet legal, tax, and accounting obligations. When data is no longer needed, it is deleted or anonymized.

Security

We protect your data with encryption in transit, access controls, and, on mobile, an optional PIN plus biometric (face/fingerprint) app lock. No method of transmission or storage is completely secure, but we work to safeguard your information.

Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data. Because CrewRoll is provided through your employer, please direct such requests to your organization’s administrator, or contact us and we will assist the controller in responding.

Children

CrewRoll is intended for use by employees and is not directed to children under 16. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, notifying you in the app.
